Teams and approvals
Social media approvals, before anything goes out.
Bring your team and clients in, give each person the access their job needs, and require an approval before publishing. Reviewers approve or send posts back with a comment, and every approval covers exactly what they saw.

Approval rules
Decide who signs off, per workspace.
Turn on approval for the workspaces that need it and leave it off where a team publishes on its own. Then choose who can give the approval: specific people, the client, organization owners and admins, and whether authors can approve their own work.
- One approval before publishing, from anyone with “Can approve”
- Make the client the only approver by turning off owners and admins
- Authors can’t approve their own posts, unless you allow it
- A reviewer needs access to every channel the post goes to

When off, authorized editors schedule and publish directly.
Organization owners and admins can approve

Review
Send it back, fix it, approve it.
Reviewers see each post in “Needs my review” with its preview, channels, requested time and the author’s note. They approve it in one click, or send it back with a comment that says what to change. Each round is a new revision, and the post’s approval history shows every one.
- Approved posts are queued for the requested time on their own
- “Request changes” always comes with a comment for the author
- Authors follow their posts under “Submitted by me”
- Approve from the queue, the post page or the overview

Waiting for a reviewer
Revision 3 changed the post, so the approval of revision 2 doesn’t carry over.
Approvals cover one revision
Every content change creates a new revision. An approval is tied to the revision that was reviewed, so nothing edited afterwards slips out unseen.
Edits go back for review
Change an approved or pending post and it needs a new approval before it can be scheduled. Moving it to another time keeps the approval.
The same rules everywhere
Approval applies in the dashboard, over the REST API and through AI agents on MCP alike. There is no side door.
Roles and access
Exactly the access each job needs.
Three workspace roles cover who does what, and approving is a separate switch you give per person. Limit someone to some channels, and invite clients as guests who only see their own brand.

In the organization
Owner
Everything, including the plan and payment, transferring ownership and deleting the organization. There is one owner.
Org admin
The team, workspaces, API keys and webhooks, and Manager access in every workspace. Sees billing and invoices but can’t change the plan.
Member
Works only in the workspaces they’re invited to, with a role in each. Sees organization totals for those workspaces only.
Inside a workspace, a manager can also limit which channels each person can post to.
Activity
Who did what, people and robots alike.
Every change is recorded with who made it, as it happens. Posts created through an AI assistant are marked with the app that did it, and API keys show up as themselves, never as the person who made them.
- Recent team activity on the workspace overview
- A history for every post, revision by revision
- Each member’s recent actions and contributions on their page
- Comments on every post for the team, clients included

Notifications
The right person hears about it.
Reviewers hear when a post needs them, authors when it’s approved or sent back, and the author when a post fails or a channel needs reconnecting. In Postivate, by email, and as push notifications on computers and phones.

- Works in the browser, with no app to install
- On iPhone and iPad, after adding Postivate to the Home Screen

Agents and API
Automation that respects your review.
API keys never approve
Keys can create and schedule within their permissions, but approving is always left to a person.
AI apps ask first
An assistant connected over MCP acts as the person who connected it. Approving is a separate permission, off unless they turn it on.
Approval webhooks
Get approval requested, approved and changes requested events in your own tools, for all workspaces or selected ones.

Teams FAQ
Teams and approvals, answered.
How does the approval workflow work?
Turn on “Require approval before publishing” for a workspace. Authors then submit a post for review, with an optional note and the time they want it to go out. A reviewer approves it or requests changes with a comment. Once approved, it’s queued for the requested time; if no time was set or it has passed, the author schedules it.
Who can approve posts?
Anyone you give “Can approve”, in any role, clients included. Organization owners and admins can approve too, unless you turn that off so only specific people, such as the client, approve. Authors can’t approve their own posts unless you allow it. A reviewer also needs access to every channel the post goes to.
What happens if a post is edited after it was approved?
Every content change creates a new revision, and an approval only covers the revision that was reviewed. Edit an approved or pending post and it needs a new approval before it can be scheduled. Moving a scheduled post to another time keeps its approval.
How many approvals does a post need?
One. Each workspace either requires one approval before publishing or none. You choose who can give it.
Do approvals apply to the API and AI agents?
Yes. The same rules apply in the dashboard, over the REST API and over MCP. API keys can never approve posts. An AI app acting for a person can approve only if that person can and explicitly allowed it when connecting, which is off by default.
What roles are there?
Manager runs a workspace: channels, settings, approval rules, the Brand Profile and who has access. Editor creates, edits and schedules posts and uses AI. Viewer reads posts, the calendar, the library and analytics, and can comment. Approving is a separate switch you give per person. Owners and admins of the organization work in every workspace.
Can I limit which channels someone posts to?
Yes. Give a team member access to all of the workspace’s channels or only some. Publishing and approving both need access to every channel the post goes to.
How does my team hear about things?
In Postivate, by email, and as push notifications in the browser on computers and phones (on iPhone and iPad, after adding Postivate to the Home Screen). Reviewers hear when a post needs them, authors when it’s approved or sent back, and the author when a post fails or a channel needs reconnecting. Emails that come within a few minutes of each other arrive as one. Everyone picks which ones they get, and how.
Can I see who did what?
Yes. Every change is recorded with who made it: people, API keys and AI apps, marked as such. The workspace overview shows recent team activity, each post has its own history by revision, and each member’s page lists their recent actions.
Do we pay per team member?
No. Pro and Business include unlimited team members and clients with no seat billing. Starter is for one person.
